Privacy Policy

How GolfFlow GMS collects, uses, and protects your information.

GolfFlow GMS (“GolfFlow,” “we,” “us,” or “our”) is a golf league management platform operated by GolfFlow LLC, based in Ohio, United States. This Privacy Policy explains what information we collect when you use our website and services (the “Service”), how we use it, and the choices you have. We’ve tried to write it in plain English.

The short version: we collect what we need to run your league and your account, we never sell your data, and we don’t store your credit card number — our payment processor does.

1. Information we collect

Account information

When a commissioner creates an account, we collect a username, email address, and a password (which we store only as a secure one-way hash — we never see or store your actual password).

League and player data

To run a league, commissioners enter information such as team and player names, starting and current handicaps, weekly scores, matchups, schedules, courses, skins and closest-to-pin results, sub fees, and league announcements. Players access their league with a League ID and a numeric PIN — no player account or password is required.

Payment information

Subscription payments are processed by Stripe, Inc. We do not receive or store your full card number, CVC, or bank details. Stripe provides us only with limited billing metadata (such as your subscription status and the last four digits or card brand) needed to manage your account. Stripe’s handling of your payment data is governed by its own privacy policy.

Communications

If you email us, use the in-app “Ask GolfFlow” support tool, or submit our contact form, we keep those messages so we can respond and improve the Service.

Usage and device data

Like most websites, our servers automatically log basic technical information such as IP address, browser type, and pages visited. We use essential cookies to keep you logged in and to remember your session. We do not use third-party advertising trackers.

We do not sell your personal information. We share it only with service providers who help us run GolfFlow, and only as needed:

We may also disclose information if required by law, or to protect the rights, safety, and property of GolfFlow, our users, or the public. If GolfFlow is ever involved in a merger or acquisition, information may transfer as part of that transaction.

4. A note on player data

Much of the data in a league is entered by the commissioner, who is responsible for the players they add. If you are a player and want your information corrected or removed from a league, please contact your commissioner first, or reach us and we’ll help coordinate.

5. Data security

We protect your data with industry-standard measures, including encrypted (HTTPS) connections and hashed passwords. No online service can be guaranteed 100% secure, but we work to safeguard your information and to promptly address any issues we discover.

6. Data retention & deletion

We keep your information for as long as your account is active or as needed to provide the Service. You may request deletion of your account and its data at any time by contacting us at support@golfflowgms.com. Some records may be retained where required for legal, tax, or fraud-prevention purposes.

7. Your choices and rights

You can access or update your account details from your account settings, opt out of non-essential emails, and request a copy or deletion of your personal data. Depending on where you live, you may have additional rights under laws such as the CCPA or GDPR; contact us to exercise them and we’ll respond as required by applicable law.

8. Children’s privacy

GolfFlow is intended for adults running and playing in golf leagues. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we’ll remove it.

9. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we’ll revise the “Last updated” date above, and for material changes we’ll provide a more prominent notice. Continued use of the Service after changes take effect means you accept the updated policy.
